Weddings

How we charge/operate

We operate as a more personalised piece hire company as opposed to other vendors that tend to customise each and every wedding, this level of personalisation still allows each wedding to look different in style however operating like this saves a lot of planning time and admin work lowering the overheads therefore saving you money and allows you to have more control of what pieces you're getting and what you're actually paying for. All our hirable pieces are a set price and vary pending the size, uniqueness of the item. 

 

We charge on a 3 tier process with a 3 stage payment method. (hire item price x staffing fees x delivery rate) which is due in 3 instalments, 

1st being (40% of the total) at the time of booking, 

2nd (30% of the total) x-amount of months in, 

3rd and final (remaining 30%) x-amount of weeks out from the event. 

We do also offer custom builds if you do want a specific backdrop or piece on your special day, however this needs to be discussed. 

 

Note; We charge this way so you can roughly workout the cost of everything. Eg. see the initial cost of the hireable items upfront aswell as delivery fees, which are charged based on live uber fare charges at time of quote per the vehicle from our upperhutt base. Staffing fees are added on after we receive your booking request and once we do a site visit to see what is required for the setup and how long we need to set up. Site visits are a mandatory step in the process and is 1 off charge of $150.00+ gst, We will not take on a wedding without this. Larger pieces have a minimum spend as a whole crew is needed to install correctly.

 

Staffing fees are Labour costs -  This is defind as any work related to your event.

Staffing cost

Wellington vibrant weddings charge out their labours services based on the nature of the role. 

 

Any work considered not done on site eg- not on the actual day of the wedding is at a rate of $45.00 +gst p/h referred to as 

Prior to 'the' day work.

Preparation, Admin, Coms, Builds, Errands. 

 

Any work considered done on the day of the wedding is referred to as 

On-site work. On site work is charged out in 2 yields, 

-standard work

-specialist work

Standard work is charged at $65 +gst p/h per person required. 

Specialist work is charged at $120 +gst p/h.

Floral and Balloon decor is a specialist task and requires a specialist individual to perform the art. This being classed as Specialist work. 

 

Why do we charge like this? 

This way of charging allows for a straightforward process based on time x people x size of event. It allows you as the customer to know you have a professional team on for your special day and breaks down what you are paying for. Certain tasks involved are classified as high pay to that of others. This gives you a piece of mind knowing that someone sending an email or loading inventory is not being charged out to you at the same rate as someone who has spent years mastering the art of balloon/floral decor.

Expectations with payment and communication after initial booking request

We operate on a 72 hr equipment hold and communication cutoff (with exceptions) and a 96hr payment structure after you've received our acceptance reply to your initial booking request,(This may be different during peak times and or public holidays due to the nature of operating stat days etc) after these time frames your equipment/requested date will no longer be held unless payment is received. A site visit is a mandatory element of our service offerings (when requesting full setups or multiple items.) We do charge a set price of $150.00 +gst for a site visit, which does come off your overall staffing hours once we proceed through with your booking. 

Time for everyone is valuable so we have set these prerequisites in place for the sake of a fair booking process meaning communication regarding the booking request itself needs to be executed within 72hrs of the booking request acceptance response with first payment received or communication regarding payment options within 96 hrs of said booking request acceptance response.

 

Although we value all customers' wants and needs and respect the day is equally as special to all, Understandably we do prioritise communication on closest to events commencement date meaning if your wedding is 1 year out and another customers' is 3 weeks away, please expect delays as priority will be the event that is 3 weeks away. 
 

Example of the whole booking process (Whilst our website services is getting amended)

Customer sends through an initial inquiry, we’ll reply with our wedding questionnaire, Once we receive this questionnaire back, we’ll reply with our general info(this sheet), containing equipment price lists etc. 

You'll then need to make contact with the venue and organise for us to do a walk through/measure up, please request 2 available spots with the venue for different dates/times so we can have a backup option (Site visits need to be done with you present) Once all parties come to an agreement with times/dates for the walk through we’ll then send out an independent site visit invoice for $150.00 +gst

Once site visit has commenced, we’ll send you through a breakdown of events from the walk through. As well as staffing hours. This will make up the last part of your informal quotation for your event. Our formal wedding agreement which will need to be signed from both parties will follow with the first of the 3 part payment invoices.
